eWork & THE HIRING PROCESS

The Hiring Process for Classified Positions

(1) Before beginning the recruitment process, make sure the Employee Work Profile (EWP) is up-to-date and submit Position Maintenance Form to the budget office if this is a new position. Complete the Request to Recruit and add the search committee members, interview questions, and activate the guest user function if applicable.

(2) Submit Request to Recruit to HR Consultant for approval.

(3) Human Resources and Payroll approves the request and posts it on eWork. Classified positions are posted on eWork for at least 5 business days for internal postings and 10 business days for external postings. All ads are automatically posted on the Washington Post jobs website. Any additional outside advertising requested by the department is placed by Human Resources and Payroll. Hiring departments are responsible for the cost of any advertisements.

(4) Applicants apply.

(5) Search committee members review applications. At least one member of the search committee attends training offered jointly by Human Resources and Payroll and the Office of Equity and Diversity Services. Hiring Authority changes applicant statuses as appropriate (not hired, selecting the applicable Reasons for Not Selecting, interview pending, interviewed, or finalist). Interview questions are finalized and added to eWork, if not previously done.

(6) Search committee contacts candidates, conducts interviews and selects finalists. Hiring Authority updates the status of finalists in eWork.

(7) Once a candidate is agreed upon, complete the Classified Hiring Proposal Tab (selecting the recommended candidate from the drop down list of finalists). Note: A reference check with the current and at least one former supervisor of the finalist should be completed prior to submitting the offer for HR approval. Be sure to physically send the interview questions (and answers) and reference checks around the same time as the offer being submitted. Hiring department notifies unsuccessful candidates of non-selection (tips on how to easily contact applicants are included in the eWork manuals).

(8) Human Resources and Payroll maintains recruitment file for three years.

The Hiring Process for Faculty Positions

(1) Complete the Request to Recruit and add search committee members, interview questions, and activate the guest user function if applicable.

(2) Submit Request to Recruit for Admin Unit Head Approval.

(3) Admin Unit Head approves and sends Request to Recruit to Human Resources and Payroll or back to originator to send to Human Resources and Payroll.

(4) Human Resources and Payroll approves the request and posts it on eWork. National searches are posted for at least 1 month or 20 business days. All ads are automatically posted on the Washington Post jobs website. Any additional outside advertising requested by the department are placed by Human Resources and Payroll or department.

(5) Applicants apply.

(6) Search committee members review applications. At least one member of the search committee attends training offered jointly by Human Resources and Payroll and the Office of Equity and Diversity Services. Hiring Authority changes applicant statuses as appropriate (not hired, selecting the applicable Reasons for Not Selecting, interview pending, interviewed, or finalist). Interview questions are finalized and added to eWork, if not previously done.

(7) Search committee contacts candidates, conducts interviews and selects finalists. Hiring Authority updates the status of finalists in eWork. Note: A reference check with the current and at least one former supervisor of the finalist should be completed prior to submitting hiring paperwork or proposal.

(8) Follow the instructions as outlined in the Faculty Hiring Process Checklist and fill out all the paperwork required by the Provost's Office.

(9) Once a candidate is approved, complete the eWork Faculty Hiring Proposal (selecting the recommended candidate from the drop-down list of finalists). You will then have the option to attach the Draft Offer Letter, Hiring Checklist, and any other supporting documents in the Documents Tab. Please be sure to inactivate all other candidates by selecting not hired and the applicable Reasons for Not Selecting code.

(10) Job offer is made after approval from Provost or appropriate Vice President (for non-academic units) and the Office of Equity and Diversity Services. Hiring department notifies unsuccessful candidates of non-selection.

(11) Hiring department maintains recruitment file for three years.
