Frequently Asked Questions

12-MONTH FACULTY - In the traditional sick leave program (non-VSDP), full-time faculty (1.0 FTE) on 12-month appointments accrue 20 days (160 hours) of sick leave per fiscal year at a rate of 6.67 hours per semi-monthly pay period. Part-time (at least .5 FTE) 12-month faculty earn sick leave on a pro-rata basis.

A maximum of 120 days (960 hours) sick leave may be carried over from one year to the next each June 24th; once the 960 hour maximum is reached, accruals will stop until leave is taken and the balance reduced. Faculty are not reimbursed for unused sick leave upon retirement or separation.

New hires receive 40 hours of initial sick leave.

12-month faculty members must submit timesheets electronically to record any sick or annual leave taken during each pay period. If no leave is taken, a zero leave timesheet must still be submitted via PatriotWeb. Accrual of leave will stop if timesheets are not submitted for six consecutive months. Accrual of leave will begin again when timesheets are submitted.

Faculty may use all of their traditional (non-VSDP) sick leave under an approved Family Medical Leave Act (FMLA) absence. Faculty may use up to one-third of their traditional (non-VSDP) sick leave to care for members of their immediate family who are ill or incapacitated under approved Family Medical Leave (FMLA). Personal leave time for reasons other than illness or a scheduled medical appointment should be recorded as annual leave.

Please note: 12-month faculty members on an Office of Sponsored Programs (OSP) grant should check with their primary investigator to see if sick leave provisions are available.

9-MONTH FACULTY - In the traditional sick leave program (non-VSDP), faculty on 9-month appointments receive 15 days of sick leave per year (fall and spring semesters). Summer employment is not covered by sick leave. 9-month faculty may accrue up to a maximum of ninety (90) days of sick leave; however, faculty are not reimbursed for unused sick leave upon retirement or separation. Faculty may use up to 48 hours of traditional sick leave per year to care for members of their immediate family who are ill or incapacitated.

9-month faculty members do not receive a monthly leave statement. Sick leave taken should be recorded within the faculty member's department (office of the chair, director, or dean).

9 and 12-MONTH FACULTY - enrolled in the Virginia Sickness and Disability Plan (VSDP) under the Virginia Retirement System (VRS)
Faculty enrolled in VSDP follow the sick leave program specifically set up by the Virginia Retirement System (VRS). Sick and family/personal leave days are credited on January 10 of each year. Faculty enrolled in the Optional Retirement Plan (ORP) are not eligible for VSDP.

Faculty may use all of their VSDP sick leave under an approved Family Medical Leave Act (FMLA) absence. Faculty may use up to one-third of their non-VSDP sick leave to care for members of their immediate family who are ill or incapacitated under approved Family Medical Leave (FMLA). Personal leave time for reasons other than illness or a scheduled medical appointment should be recorded as annual leave.
