Annual Leave Rollover Deadline: January 9, 2026

As we approach the annual leave rollover date of January 9, 2026, all eligible staff and faculty are encouraged to review their current leave balances in Patriot Web and plan accordingly. Any unused annual leave that exceeds the carryover limit will be forfeited if not used by this date.


How to Avoid Losing Earned Leave

1. Plan Ahead
Coordinate with your supervisor to schedule time off as workload allows.

2. Donate Excess Leave
If you cannot use your excess annual leave, consider donating it through the Leave Sharing Program by January 9, 2026.

  • Complete the Donor Form available on the HR Forms page and return it to Human Resources.
  • Only annual leave may be donated, and donations must be made in 8-hour increments.

3. Check New Balances
New 2026 leave allotments will be visible in Patriot Web by mid-January. Due to manual adjustments and late timesheet submissions, final balances will be available by the end of January.


Holiday Pay Reminder

Before taking time off around the holidays, check your leave balances—especially VRS participants who may have exhausted VSDP leave. This helps prevent leave without pay that could affect holiday pay.

Per State Policy 4.25 Holidays, non-exempt employees must:

  • Be present at work or on paid leave on their last scheduled workday before the holiday, and
  • Be present at work or on paid leave on their first scheduled workday after the holiday.

Employees without sufficient leave to cover this period will not be eligible for holiday pay.
